Meetings
The P&C Constitution (section 21.3) states that the annual general meeting of the Association must be held by 31 March in the year following the end of the preceding financial year of the Association.
This meeting sets up the year to come and has a set agenda which includes:

receipt and adoption of the Association’s audited annual financial statement and Treasurer’s report

receipt and adoption of the President’s annual report
-
receive applications for membership (all memberships lapse and must be renewed each AGM)
-
election of Executive Committee
-
appointment of the Association’s Auditor
-
adoption of the Student Protection Risk Management Strategy
-
adoption of new policies, model constitution or life membership awards (if any)

Everyone is welcome to attend this meeting even if joining as a P&C committee member is not on your radar!

General Meeting
The P&C Constitution (section 21.4) states that P&Cs must hold three general meetings per semester (six per year). The BESS P&C General Meetings are held on the 2nd Monday of each month except during school holiday times or if it falls on a public holiday. We meet at school and also offer a virtual option for those who are not able to be there in person!

What happens at these general meetings?
General Meetings bring together people with different ideas and experiences to exchange information, solve problems, make decisions, share concerns and explain issues.

We have a set agenda which includes the following reports:

Treasurers Report - This report contains updates on all P&C accounts and any expenses arising.

Principals Report - This report contains updates and information concerning the school and students.

Retail Report - This report contains updates and information on the uniform shop and tuckshop.
-
Other Reports - Reports such as Book club, YMCA, P&Cs Qld, Subcommittee and fundraising are tabled when relevant information is available.

There is also a General Business section on the agenda which any committee member may place an item on by notifying the Secretary in writing, prior to the meeting.

Special Meeting
A special meeting is are held for a specific purpose and may only be convened for:
-
the tabling of actions of the Executive Committee in dealing with matters of urgency
-
proposed amendments to the Constitution
-
proposed removal of a member of the Association
-
proposed removal of an Officer of the Association
-
proposed dissolution of the Association
-
business determined by resolution of members of the Association at a general meeting to be dealt with at a special meeting
-
business determined by the Officers of the Association to be dealt with at a special meeting
-
business determined by written request to the Secretary of a majority of Association members to be dealt with at a special meeting

Voting at Meetings
Only people who are listed as current members in the P&C’s membership register are entitled to vote. Regardless of the type of meeting, decisions are made by voting on motions, with the result decided by the majority of votes of members present (both physically and virtually) at the meeting. Voting by proxy is not permitted under the Constitution.
